Trout Creek Wilderness Lodge – Terms & Conditions & Cancellation Policy

Business Entity: Trout Creek Wilderness Lodge, LLC
By booking, accessing, or staying at Trout Creek Wilderness Lodge (“the Lodge”), all guests agree to the following Terms & Conditions.
1. Acknowledgment of Wilderness Environment
Trout Creek Wilderness Lodge is located in a remote, natural wilderness setting. By booking a stay, guests acknowledge and accept that the property includes inherent risks, including but not limited to:
Presence of wildlife, including apex predators such as bears and mountain lions
Natural water bodies including Trout Creek and the Molalla River
Uneven terrain, cliffs, ridges, staircases, and forested areas
Falling trees, branches, or natural debris
Weather-related hazards (rain, wind, flooding, fire risk, etc.)
Outdoor trails, limited lighting, and natural obstacles
Remote location with potential delays in emergency response
Guests agree they are voluntarily entering and staying in a wilderness environment and assume all associated risks.
2. Assumption of Risk
Guests understand that activities on the property may include:
Hiking and exploring
Swimming or accessing waterways
Use of fire pits, wood stoves, or outdoor features
Use of the bathhouse, including the cedar hot tub
All such activities are undertaken entirely at the guest’s own risk.
Guests expressly assume full responsibility for any injury, loss, or damage arising from their stay.
3. Bathhouse & Hot Tub Use
The bathhouse is a shared, 24-hour-access facility:
The bathhouse does not have locking doors
The cedar hot tub has a removable cover and must be used with caution
Surfaces may be wet and slippery
Guests are responsible for their personal safety and belongings at all times.
4. Guest Responsibility & Conduct
Guests agree to:
Supervise all minors at all times
Exercise caution around water, wildlife, cliffs, and trails
Respect property boundaries and posted signage
Use all facilities responsibly
Guests are responsible for any damage caused by themselves or their party.
5. Liability Waiver & Indemnification
To the fullest extent permitted by law:
Trout Creek Wilderness Lodge, LLC, its owners, employees, and agents shall not be liable for any injuries, accidents, losses, or damages occurring during a guest’s stay
This includes incidents involving:
Wildlife encounters
Water-related accidents
Falling trees or natural hazards
Slips, trips, or falls
Use of Lodge facilities
Guests agree to indemnify and hold harmless Trout Creek Wilderness Lodge, LLC from any claims, liabilities, or legal actions arising from their stay.
6. Emergency Procedures & Communication
Due to the Lodge’s remote wilderness location, cellular service is limited or unavailable in many areas of the property.
Before Arrival
Guests are strongly encouraged to:
Enable WiFi calling on their mobile devices prior to arrival
Emergency Communication Options
In the event of an emergency:
1. Use WiFi Calling
Connect to Lodge WiFi and dial 911
2. Use On-Site Landline Phones
Landline phones are available at:
Main Cabin
Caretaker’s Cottage
Mysterium Tremendum (treehouse structure)
3. Off-Site Emergency Phone Booth
Located approximately 0.5 miles north along Dickey Prairie Road
Accessible by walking or driving north along the roadway
Located near the Glen Avon Bridge crossing over the Molalla River
Important Notes
There are no landline phones on the north side lodging areas (tiny homes, bathhouse, etc.)
Guests should familiarize themselves with emergency locations upon arrival
Emergency response times may be delayed due to the remote setting
In Case of Emergency
Call 911 via WiFi or landline
Clearly state: “Trout Creek Wilderness Lodge, off Dickey Prairie Road near Glen Avon Bridge”
If needed, proceed north along the road to the emergency phone booth
Acknowledgment
Guests acknowledge they have been informed of limited communication capabilities and accept associated risks.
7. Booking Agreement
A reservation is confirmed upon receipt of payment. Booking through Serenity Book, Airbnb, or any direct method constitutes agreement to these Terms.
8. Cancellation & Refund Policy
We aim to balance flexibility with the realities of operating a small wilderness lodge.
Standard Cancellation Terms
Full refund if canceled 28 days (4 weeks) or more before check-in
50% refund if canceled 14–27 days before check-in
No refund if canceled within 48 hours (2 days) of check-in
Flexible Options (Owner Discretion)
At the sole discretion of Trout Creek Wilderness Lodge, we may:
Offer partial or full credits toward a future stay
Allow rescheduling based on availability
Provide exceptions for:
Severe weather
Emergencies
Unforeseen circumstances
Rescheduling is subject to availability and may not be possible during events or peak bookings.
9. Force Majeure
The Lodge is not liable for cancellations or disruptions caused by events beyond its control, including:
Wildfires
Severe weather
Natural disasters
Government actions or restrictions
Credits or rescheduling may be offered at the owner’s discretion.
10. Personal Property
Guests are responsible for their belongings. The Lodge is not liable for lost, stolen, or damaged items.
11. Right to Refuse Service
The Lodge reserves the right to refuse or terminate a stay if guests:
Violate these Terms
Endanger themselves, others, or the property
12. Agreement
By booking and staying at Trout Creek Wilderness Lodge, guests confirm they:
Have read and understood these Terms & Conditions
Accept all risks associated with a wilderness environment
Agree to abide by all policies
